Customer management in Zircon CRM gives every client one record: company details, contacts, proposals, invoices, projects, tickets, files and passwords on one page. Badges on the tabs show where something is open. For each contact you decide separately what they can use in the customer portal.

In short
What does customer management in Zircon CRM cover?
Customer management means keeping your clients, their contact people and everything you do for them in one place. In Zircon CRM every customer gets a profile with at least 18 tabs: proposals, invoices, contracts, projects, tickets, files and an encrypted credentials vault. There is no limit on contacts. It is made for account managers, project managers and finance.
Sound familiar?
The client's details are in four places, and none is up to date.
If two of these ring true, customer management in your team is still spread across several tools.
- 01
The billing address is in an old PDF
Finance copies the address from last year's invoice, although the client has moved since. The new address is in a colleague's e-mails.
- 02
A server password in the chat
The login details for the client's hosting sit in an old chat message. Everyone in the channel can see them, whether they work with the client or not.
- 03
The statement comes from three places
The client's accountant asks for the balance. You piece it together from the invoicing tool, the bank lines and a spreadsheet: what you invoiced and what they paid.
- 04
The wrong person gets the e-mail
The invoice goes to the managing director, who forwards it to finance. The project update goes to finance, who have no use for it.
What it does
What customer management in Zircon CRM does.
A customer can be a company or a private person, with its own currency, language, addresses, groups and responsible staff.
Customer profile with tabs and badges
Profile, contacts, notes, statement, invoices, payments, proposals, estimates, contracts, projects, tasks, tickets, files and reminders on one page, in a vertical tab bar. Badges flag an unpaid invoice or an unsigned contract before you click. Administrators can hide the tabs your team does not use.
Contacts with their own permissions
A company can have any number of contacts. For each one you set which customer portal areas they can use (invoices, estimates, contracts, proposals, support, projects) and which documents they get e-mails about. So finance gets the invoice, and the project lead gets the project.
Encrypted credentials vault
The vault stores each client's server address, port, username and password. Passwords are encrypted, and staff must re-enter their own password to reveal one. Per entry you decide whether everyone with access to the customer sees it, only administrators, or only you (administrators included).
Account statement
For any period you produce a statement with the opening balance, the amounts invoiced and paid, and the balance due, line by line. You print it, download it as a PDF or send it by e-mail. Contacts with the invoices permission are preselected as recipients.
Currency and language per customer
New documents for a customer get its currency, and the statement is calculated in it. E-mails, PDFs and public document pages for the customer are produced in its language.
Saved filters
You build a filter for, say, customers with overdue invoices, a certain contract type or a project in progress, and save it. Your customer custom fields appear as filter rules on their own.
Files in one place, and as a ZIP
The Files tab holds every file of the customer, including the attachments of its invoices, contracts and tickets. You can share uploaded files with selected contacts. Invoices, estimates, credit notes or payments can be downloaded for a chosen period as one ZIP.
How it works
How a customer record comes together.
- 01
You create the customer
By hand, by CSV import or by converting a lead. If a customer with the same name already exists, the system warns you without blocking you.
- 02
You fill in the profile
Company details, VAT number, currency, language, billing and shipping addresses, groups and custom fields. You also assign the responsible staff.
- 03
You add the contacts
For each one you set permissions and e-mail notifications, and either set a password or send a set-password e-mail.
- 04
You work with the customer
You start proposals, invoices, contracts, projects and tickets from the record's tabs, and everything stays linked to the customer.
- 05
You review the balance
The badges show what is open. You send the statement to the client's finance contact and a ZIP archive to your accountant.
Control
Who sees which customer, and what they can open.
Own customers and all customers
Without the global view permission, a staff member sees only the customers they are responsible for. Whoever creates a customer without that permission becomes responsible for it automatically, so they keep access.
Documents follow their own permissions
The invoice, estimate and contract tabs on the record follow each module's permissions. Someone who sees only their own items in a module sees only those on the record too.
Protection against deletion
A customer with invoices, estimates or credit notes cannot be deleted, so your accounting records stay intact. In GDPR mode deletion is possible, and a setting decides what happens to the financial documents.
Inactive customers and contacts
An inactive customer keeps all its history but no longer appears in the drop-down lists for new records. An inactive contact is locked out of the customer portal straight away.
Works with
What feeds into the customer record.
- Lead managementa converted lead's details, notes and consents move onto the customer record, linked back to the lead.
- Proposalsnew proposals start from the record, and proposals sent while the client was still a lead stay with the customer.
- Invoicinginvoices are made out in the customer's currency, and the account statement is built from them.
- Project managementthe customer's projects sit on the Projects tab, and vault entries can be shared with project members.
- Customer portalcontacts use the areas you allow them, by default in the customer's language.
- Hosting and domain renewalsadds a tab to the record with the customer's hosting, domain and server subscriptions.
Honestly
Good to know before you start.
An e-mail address can belong to only one contact across the whole system, even if the person works for two of your customers.
A customer's currency cannot be changed once the first transaction is recorded.
A private person can have one contact. Add a company name and you can add more.
The map needs a Google API key, and uploads from Google Drive and Dropbox need their own keys.
Before you write
Fair questions. Straight answers.
- 01
How many contacts can I add to a customer in Zircon CRM?
As many as you need for a company. Each can have their own login, customer portal permissions and e-mail notification settings, and one of them is the primary contact. A private person can have one contact.
- 02
How does Zircon CRM store clients' server and login details?
In the vault on the customer record, encrypted. Per entry you set who can see it, and staff have to re-enter their own password to reveal a password. Each entry shows who created it and who last changed it.
- 03
Can I send a customer an account statement from Zircon CRM?
Yes, for any period. The statement shows the opening balance, the amounts invoiced and paid, and the balance due line by line, and goes out by e-mail as a PDF attachment to the contacts you choose.
- 04
Can I bring my existing customer list into Zircon CRM?
Yes, from a CSV file. The simulated import shows the first 100 rows without saving, skips e-mail addresses that already exist, and adds a row as a new contact when the company name matches exactly one existing customer. No welcome e-mails go out during import.
- 05
Can I see what a customer sees in the portal?
Administrators can log in to the customer portal from Zircon CRM as the customer's primary contact, in a new tab. That way they see exactly what the customer sees, for example when guiding them through paying an invoice.
