Zircon CRM / Sales & CRM
Runs in the browser · HU / EN / DESales proposals your clients accept online
In Zircon CRM a sales proposal combines a written pitch with a priced items table, and you can send it to a lead before they are a customer. The client opens it on their own link, asks questions, ticks optional items and accepts online. You see when they opened it, and after the yes it becomes an estimate or an invoice without retyping.

In short
How do you build a sales proposal in Zircon CRM?
A sales proposal is the complete sales document: introduction, scope of work, terms and priced items in one. In Zircon CRM you assemble it from templates and send it to a lead or customer as a secure link, where the recipient asks questions, accepts or declines. After acceptance you convert it into an estimate or an invoice. It is made for sales staff and owners.
Sound familiar?
The Word proposal goes out, and after that you see nothing.
If two of these ring true, proposals in your team still live in files.
- 01
You cannot tell whether it was opened
A week has passed since you sent it. You call the client, who asks which e-mail the attachment was in.
- 02
Three versions in circulation
“proposal_v2_final_FIXED.docx”. The client approves the old one, finance works from the newest.
- 03
They want half the package
The client wants the website but not the newsletter. You work out the new total by hand again and send a new PDF.
- 04
Retyping after the yes
You copy the accepted proposal's items into your invoicing tool one by one, discount and tax included.
What it does
What a sales proposal in Zircon CRM can do.
The same proposal works for leads and customers, and the list and the Kanban board show the same proposals.
Text and items table in one document
You edit the text right on the page: headings, images, tables, page breaks for the PDF. The priced items table, with subtotal, discount, tax and total, goes in as a single field wherever you place it.
Templates for recurring sections
You save your company introduction, terms and service descriptions as templates and insert them with one click. With the right permission you see your colleagues' templates too, so a shared library grows.
Proposals for leads
You can send a proposal to a prospect who is not a customer yet. The lead's details fill in the recipient, and the proposal goes into the lead's history.
A page of its own for the client
Every proposal gets a secure link that opens without logging in: your logo, a summary, the files you share and a discussion tab. The PDF can be downloaded, and if the recipient has a language set, the page appears in it.
Acceptance with a drawn signature
If you switch it on, the client enters their name and e-mail address and draws a signature to accept. The proposal then shows the signer's name, the time of signing and the IP address.
Optional items
You mark an item as optional, and the client ticks or unticks it on the proposal page. Total and tax are recalculated at once, and unticked items are left out of the PDF.
View and e-mail tracking
For every visit you see the date and IP address, and the responsible person is notified. You also see whether the e-mail carrying the proposal was opened.
Estimate or invoice from the proposal
Converting fills in the estimate or invoice form with the items, taxes, discount and customer details. You review and adjust it before saving.
How it works
From first conversation to signature.
- 01
You start from the record
You open a new proposal on the lead's or customer's record. Name, address, e-mail and phone fill in, and the validity date is set from your default number of days.
- 02
You put the content together
You add items from the catalogue, mark two add-on services as optional, insert the company introduction template and write the scope.
- 03
You send it
You send it by e-mail, personalise the template text first and attach the PDF. The draft moves to sent on its own.
- 04
The client opens it and decides
You are notified when it is opened. The client asks a question in the discussion tab, picks an add-on and accepts with a signature, and the responsible person and the creator get an e-mail.
- 05
It becomes an invoice
You convert the lead into a customer, then create an invoice from the proposal, review it and save.
Control
Who sees proposals, and what runs in the background.
Own proposals and all proposals
Depending on permissions, a staff member sees only the proposals they created, or all of them. A setting also lets staff see the proposals assigned to them.
Expiry reminders
Once a day, at the hour you set, the scheduled job (cron) on the server sends a reminder for sent and open proposals whose validity is about to run out. Each proposal is reminded once.
Status on the Kanban board
Proposals can be arranged in columns by status, and you drag a card to move it. A converted proposal stays in place, and its status no longer changes.
Works with
Where a proposal starts, and where it goes next.
- Lead managementthe proposal goes to the lead already and shows in the lead's history.
- Customer managementnew proposals start from the customer record, and an address change can be pushed to existing proposals in one step.
- Quote requestsan incoming quote request becomes a proposal, and the request is closed.
- Estimatesan accepted proposal becomes an itemised estimate without retyping.
- Invoicinga proposal can also be converted straight into an invoice, with the items filled in.
- Customer portalcontacts with permission see their proposals in a list, including those received while they were still a lead.
Honestly
Good to know before you start.
On acceptance the typed name, e-mail address, drawn signature, time and IP address are recorded on the proposal. This documents an online acceptance; it is not a qualified electronic signature.
A proposal addressed to a lead can be converted into an estimate or invoice only after the lead has been converted into a customer.
Expiry reminders need the scheduled job (cron) on the server, and SMS notifications need a Twilio or Clickatell account.
For a customer, the proposal uses the customer's currency, which cannot be changed. For a lead you can choose any configured currency.
Before you write
Fair questions. Straight answers.

How do I know whether a client has opened a proposal in Zircon CRM?
Zircon CRM records the date and IP address of every visit to the proposal link, and notifies the responsible person and the creator. You also see separately whether, and when, the e-mail carrying the proposal was opened.
- 02
Does the client need an account to accept a proposal?
No. The proposal goes out from Zircon CRM as a secure link that opens without logging in, so a lead without customer portal access can accept it too. Only someone with the exact link can open it.
- 03
Can the client choose which parts of the package they want?
Yes, if you mark those items as optional. The client ticks or unticks them on the Zircon CRM proposal page, total and tax are recalculated at once, and unticked items are left out of the PDF.
- 04
What is the difference between a proposal and an estimate in Zircon CRM?
A proposal is a written sales document with an items table that can go to a lead and be discussed online. An estimate is an itemised price for a customer that becomes an invoice or a project. You can create an estimate from an accepted proposal.
- 05
What does Zircon CRM record when a client signs a proposal?
The signer's first and last name, e-mail address, drawn signature, time of signing and IP address. You can show your own text above the sign button. This documents an online acceptance; it is not a qualified electronic signature.
