Project management that ends in an invoice

In Zircon CRM, every piece of client work is a project: its tasks, logged hours, milestones, discussions, estimates and invoices sit in one place. Project management here does not stop at the deadline. Logged time and billable expenses become an invoice in a few steps.

In short

What does project management in Zircon CRM do?

Project management is planning, tracking and closing client work in one place. In Zircon CRM every project belongs to a customer and uses one of three billing types: fixed rate, project hours or task hours. Tasks, hours and expenses share one workspace, and the work turns into an invoice. It is built for agencies, consultancies and IT service providers.

Sound familiar?

The project is done. The invoice is nowhere.

If two of these ring true, projects and money are taking separate roads in your business.

  1. 01

The budget overrun shows up at month end

The team went past its estimated hours in the second sprint. Nobody notices until someone adds up the spreadsheet at the end of the month.

  2. 02

Logged time never reaches the invoice

Developers track their time in a separate app, and someone else writes the invoice. Whatever gets lost between the two is never billed.

  3. 03

The client asks for a status update by e-mail

Where are we with the milestones? Each time, you piece the answer together by hand from three places.

  4. 04

Every new project starts from zero

You type the same onboarding plan again and again: tasks, assignees, deadlines, checklists.

What it does

What Zircon CRM project management does.

A project is one workspace split into tabs, and you can switch tabs on or off per project.

Three billing types

When you create a project, you decide how the work is priced: a fixed rate, one hourly rate for the whole project, or a different hourly rate per task. Once an hour-based project has billed tasks, the billing type and rate are locked.

Hours and expenses, live

On hour-based projects, the Overview tab shows logged, billable, billed and unbilled hours with their value. When logged time exceeds the estimated hours, the field turns to a warning colour, and expenses are totalled in their own panel.

Milestones and Gantt charts

On the milestone board you drag tasks into phases, with dates and logged time per column. The Gantt chart shows the schedule by milestone, member or status, and you reschedule a task by dragging its bar.

An invoice from the project's work

Invoice Project fills the invoice from completed tasks, individual time entries and billable expenses: as a single line, one line per task, or one line per time entry. Billed tasks stay marked, and if you delete the invoice they become billable again.

Copy a project for a new customer

Copy a proven project with its tasks, checklists, assignees, milestones and members. Dates shift to the new start date, so a six-week plan stays a six-week plan.

Customer view per project

Per project, you choose which tabs and permissions the customer gets in the customer portal, such as viewing tasks and milestones, commenting or seeing the Gantt chart. Activity entries can be hidden from the customer one by one.

Warnings at the top of the project

An overdue project that is in progress shows how many days late it is. If timers are already running on a project that has not started, the system suggests moving it to in progress.

How it works

From accepted estimate to closed project.

  1. 01

    A project from the estimate

The customer accepts the estimate and you convert it into a project. The estimate lines you pick become tasks with assignees, and the assignees become project members.

  2. 02

    Set-up and planning

You set the billing type, estimated hours, start date and deadline, then organise tasks into milestones. This is also where you decide what the customer sees.

  3. 03

    Work and tracking

The team tracks time on tasks, and discussions run in the project's own tab. You watch open tasks, days left and the hours against the estimate.

  4. 04

    Invoice and close

Invoice Project produces the invoice and marks the tasks as billed. When you close the project, you can mark every task complete and stop all running timers in one step.

Control

Who sees and changes what on a project.

Own projects and all projects

Without the global view permission, staff see only the projects they are members of: in the list, on the Gantt chart, in the calendar and on the dashboard.

Finance behind a permission

The finance panel and everyone's time entries are visible to staff who can create projects; others see their own time. Invoicing a project requires the permission to create invoices.

Notifications for members and the customer

Members are notified when they join a project, when a new discussion starts and, if you choose, when the status changes. Per project, you choose which customer contacts receive e-mails.

Honestly

Good to know before you start.

  • Projects have a fixed set of five colour-coded statuses. You cannot add your own.

  • An invoice made from a project is Zircon CRM's own invoice. Hungarian companies issue the official, NAV-reported invoice from it through the Számlázz.hu integration, which needs a Számlázz.hu account and a Számla Agent key. Invoices with a discount or more than one tax per line are not issued.

  • Deleting a project also deletes its tasks, milestones, files and discussions. Linked invoices, estimates, contracts, tickets and expenses are kept and only unlinked from the project.

  • Gantt charts and milestones are edited by your staff. In the customer portal, if you allow it, the customer sees them read-only.

Before you write

Fair questions. Straight answers.

  1. 01

How do I invoice a project from logged hours in Zircon CRM?

Start Invoice Project from the project header and choose a single line for the whole job, one line per task, or every time entry on its own line. Zircon CRM pre-selects completed billable tasks and expenses that have not been invoiced yet. If timers are still running on tasks to be billed, you stop them first.

  2. 02

What is the difference between fixed-rate and hourly projects in Zircon CRM?

On a fixed-rate project, the total rate goes on the invoice as one line, and time is still logged and reported. With project hours, every hour is priced at the project's rate; with task hours, each task carries its own rate. You can change the billing type until a task has been billed.

  3. 03

Can I reuse an earlier project as a template?

Yes, with Copy Project in Zircon CRM. You choose whether tasks, checklists, assignees, milestones and members come along, then set the new customer and start date. Task and milestone dates move with the new start date.

  4. 04

What does the customer see of their project?

As much as you allow per project. In Zircon CRM you switch tabs on and off and decide whether the customer sees tasks, milestones, the Gantt chart, timesheets or the finance overview. Administrators can open the project as the customer sees it to check.

  5. 05

Can project members see each other's hours and the project finances?

Only if you let them. In Zircon CRM, the finance panel and everyone's time entries are visible to staff with the permission to create projects. Other members see their own logged time and their own figures in the chart.
