Automation that actually runs

Invoices, e-mails, quotes, reports — one process, end to end. Wired into the tools you already use, not bolted on beside them. It starts with a two-week audit at a fixed price and doesn't end at hand-over: we run it.

What we automate

We start where the hours go.

We don't sell AI. We sell hours back. These are the six processes where small and mid-sized companies lose the most hours — and where we start.

  1. 01

    Invoice processing

Incoming invoices from e-mail and PDF: data extracted, checked, routed for approval, then booked into your accounting system.

    E-mail · PDF → Approval → ERP · accounting

  2. 02

    E-mail triage

The shared inbox sorted: quote requests, complaints, supplier questions — to the right person, with a reply already drafted.

    Inbox → CRM · ticket

  3. 03

    Quote generation

From the request, your price list and your template to a finished quote — waiting for approval, not sent.

Request · price list → Quote PDF

  4. 04

    Order sync

Webshop, ERP and warehouse in sync: order in, stock updated, invoice out, courier notified — nothing retyped.

    Webshop → ERP · warehouse

  5. 05

    Reports

Weekly and monthly reports that write themselves: data collected from several sources, summarised, sent — in the inbox by Monday morning.

    Several sources → Report

  6. 06

    Customer-service replies

Draft answers to recurring questions from your own knowledge base — in your tone, with a human pressing send.

    Question → Draft reply

How it goes

One process, four steps.

Each step ends with something you can use, each has its own fixed-price quote — and you decide whether the next one starts.

  1. 01

    2 weeks · fixed price

    AI Potential Audit

Interviews, a process map, the lost hours priced. A ranked list: what's worth automating, and what isn't. Your side: two business days — interviews with you and with the people who do the typing, and a read-through of the report.

Output: Process map · ranked list · ROI estimate · quote for the first sprint

  2. 02

    3–8 weeks · fixed-price quote

    Sprint

One process, end to end. Fixed scope, fixed price, connected to your systems. You see where it stands every week; if the scope changes, we discuss it before it costs anything.

Output: Running automation · integrations · tests

  3. 03

Up to 30 days · included

    Hand-over

Training for the team, documentation, approval rules set. Aftercare while it settles — up to thirty days.

Output: Documentation · training · aftercare

  4. 04

    Monthly or yearly

    Operations

Monitoring, model and prompt upkeep, new automations. Someone is watching after go-live. Quoted per system; longer contracts cost less per month.

Output: Monthly report · SLA · new processes

Integrations

Into your tools. Not beside them.

You don't buy new software. We connect what you work with today — through its API, or, if there is none, through the screen, supervised.

Invoicing · accounting
e.g. Számlázz.hu, Billingo, accountant exports
ERP
e.g. SAP Business One, in-house systems
Webshop
e.g. Shopify, WooCommerce, UNAS, Shoprenter
CRM · sales
e.g. HubSpot, Pipedrive, MiniCRM
Mail · calendar
Microsoft 365, Google Workspace
Team chat · tickets
Slack, Teams, Jira, Freshdesk
Spreadsheets · documents
Excel, Google Sheets, PDF, DOCX, scanned paper
No API?
Legacy systems and portals: through the screen, with supervision and stored credentials you control.

Control

AI hallucinates. So it's never left alone.

Limits, not a loose chatbot. Five things every automation we build includes.

  1. 01

    Validation.

Every extracted value is checked against rules — amount, tax number, date — before it goes anywhere.

  2. 02

    Human approval.

Wherever money or a customer is involved, a person clicks. One click — not an hour of typing.

  3. 03

    Logging.

Every step is traceable: what came in, what the system decided, who approved it.

  4. 04

    EU hosting.

Your data stays with you, or on our servers in Hungary, Germany or Finland. Encrypted, backed up daily, covered by a data-processing agreement.

  5. 05

    AI models.

The language models come from Anthropic, Google and OpenAI, on API terms with no data retention on the model side — nothing you send is kept or used for training. Each step sends the model only what it needs — the invoice or e-mail in hand, the price-list rows for a quote, the figures for a report — never a copy of your database. Every provider is a named sub-processor in the data-processing agreement. Prefer your own model or provider? We connect to it.

What it costs

Fixed prices. Quoted before you commit.

Fixed price, quoted after the first call. We don't publish a price list — the price depends on your systems and your volumes — but every step is a fixed price before you commit, and the number in the quote is the number on the invoice.

If the audit shows the numbers don't add up, the report says so — and there is no sprint. AI model usage: bring your own API keys and pay the provider directly, or we provide them and you pay for what you use. The audit is not credited against the sprint. Prices exclude VAT.

Honestly

Not for you if…

  • …the repetitive work is under about five hours a week. Automating it costs more than it saves — we'll tell you in the first call.

  • …the data only exists on paper or in people's heads. Then the first step is a system, not an automation. Custom software

  • …you want a chatbot on the website for its own sake. We build automations that do work, not ones that talk.

Before you write

Fair questions. Straight answers.

  1. 01

    How fast can we start?

The audit usually starts within about two weeks of the call and runs for two weeks; the first sprint follows straight from its ranked list.

  2. 02

    Will this replace people?

It replaces typing. The people who used to type get approving, deciding and customer calls instead.

  3. 03

    What if our process changes?

Operations covers it: changes to rules, prompts and integrations are part of the monthly scope; larger changes are quoted as small fixed-price sprints.

  4. 04

    What if we stop Operations?

The automation keeps running under your licence. What stops is the watching: monitoring, prompt and model updates when a provider changes something, and the small changes. Your own IT partner can take that over — the documentation is written for exactly that.

  5. 05

    Do we own the result?

You get a licence to use it; the code stays with Zircon. You run it, change it with us, and keep using it after Operations ends. If you ever want to move it to another company or provider, the hand-over is a paid transfer — we say that up front so it's never a surprise.

  6. 06

    Who carries a costly mistake?

The design: nothing that costs money leaves without a human click, so a wrong extraction is a rejected draft, not a booked invoice. The contract: a liability cap, set in writing before we start.

  7. 07

Does the AI Act apply to the automation itself?

The automations we build — document extraction, drafting, routing — fall into the minimal-risk category. We document the classification and the human-oversight rules with you, so the answer is on file if anyone asks.
