Contract management where expiry never comes as a surprise

In Zircon CRM, every customer contract lives in one place: it starts from a template, the customer signs it online, and its text locks once signed. The system keeps reminding until there is a signature, and before the end date it alerts both your team and the customer. Each renewal is saved to the history with its new dates and value.

In short

What does contract management look like in Zircon CRM?

Contract management means keeping track of customer agreements from drafting through signature to expiry and renewal. In Zircon CRM, a contract starts from a template, merge fields fill in the customer's details, the customer signs online, and the system reminds people about signatures and end dates. Built for account managers, administration and owners.

Sound familiar?

Signed, filed, forgotten.

If two of these sound familiar, your contract management still happens in inboxes and folders.

  1. 01

Weeks of waiting for a signature

The contract went out and the client said they would look at it. Three weeks later you learn it has been sitting with their lawyer and nobody followed up.

  2. 02

The customer notices the expiry first

The maintenance agreement ended on 31 December. In January the customer says there is no valid agreement any more and wants to renegotiate the terms.

  3. 03

Every contract is a copy of an old file

Each new contract starts from the last Word file, with different edits each time. Nobody is sure which version holds the liability clause you agreed last.

  4. 04

    Details that changed after signing

The customer moves office, and the PDF regenerated from the old contract now shows the new address. It is hard to prove what the document said when it was signed.

What it does

From the first line to the renewal, in one place.

Every contract belongs to a customer and, if you like, a project, with a type, a value, a start date and an end date.

Templates and merge fields

You write the contract in a rich-text editor, with tables, images and page breaks. Insert a template from your library, and merge fields fill in the customer's company name, address and VAT number, and the contract's dates and value.

Online signing

The customer reads the contract on its own link. To sign, they enter their name and e-mail address, read your legal text and draw a signature on screen. The signer's name, the time and the IP address appear on the contract page and on the PDF.

Text locked after signing

On signing, the merge field values are frozen into the text. The content, customer, value, dates and project are locked and can only be changed after the signature is cleared, which needs delete permission.

Contracts signed on paper

You mark a contract signed on paper as signed. Zircon CRM locks it the same way, and the list shows that it was marked by hand.

Discussion on the contract page

The customer asks questions on the contract page, and the creator is notified in the app, by e-mail and, with an SMS gateway, by SMS. The answer stays in the same thread instead of a separate e-mail chain.

Renewals with history

When renewing, you set new start and end dates and a value; the suggested end date keeps the same term length. For a signed contract you decide whether the signature stays or the customer signs again. Every renewal is listed in the history: who renewed it, when, and with which dates and value.

Overview by type

The overview page shows active, expired, soon-to-expire and recently added contracts. Two charts show the number and the value of contracts per type.

How it works

The life of a maintenance contract.

  1. 01

A contract from the customer profile

On the customer profile you open a new contract with a type, a value, a start date and an end date. In the content you insert your maintenance template, and the fields fill in.

  2. 02

    Sent with its annex

You attach the service level annex and send the contract to the two decision makers, with the PDF. Zircon CRM remembers who received it.

  3. 03

    Reminders until it is signed

If there is no signature after a week, a reminder goes to the same recipients, and again at your chosen interval until someone signs.

  4. 04

    Signed and locked

The customer's director signs, the creator is notified and the contract locks. The signed PDF is available to both sides.

  5. 05

    Renewed before it expires

A set number of days before the end date, the creator, the administrators and the customer's contacts get a reminder. You renew it for the next year and send it out for signature again.

Control

Who sees contracts, and who gets notified.

Own or all contracts

Without global view permission, staff see the contracts they created. By default they use their own templates; the full template library needs a separate permission.

Hidden from the customer

You can hide an internal contract from the customer: it does not appear in the customer portal, and the customer gets no reminders about it. A contract moved to the trash drops out of the list and the charts without being deleted.

Opening only after sign-in

You can require that only signed-in contacts of the customer can open a contract.

Honestly

Good to know before you start.

  • Reminders need the scheduled job (cron) running on the server; SMS needs a Twilio or Clickatell account.

  • Online signing records the typed name, the e-mail address, the drawn signature, the time and the IP address. Zircon CRM does not provide a qualified electronic signature; where a contract needs one, sign it elsewhere.

  • The expiry reminder goes out once per contract term. Changing the end date or renewing the contract sets it up again.

  • The contract value is recorded in your base currency, and the charts by type use it too.

Before you write

Fair questions. Straight answers.

  1. 01

How does a customer sign a contract in Zircon CRM?

They open the contract from the link you sent and click Sign. They enter their first name, last name and e-mail address, read your legal text and draw their signature on screen. Zircon CRM records the signer's details, the time and the IP address, and notifies the creator.

  2. 02

What happens if a signed contract needs changes?

The content and key details of a signed contract are locked. To change it in Zircon CRM, someone with delete permission clears the signature, the merge fields become live again, and you send the contract out for signing once more.

  3. 03

Does Zircon CRM chase customers who haven't signed?

Yes. For a contract that was sent and is still unsigned, an automatic reminder goes to the original recipients at your chosen interval, until it is signed, expires, or you hide it from the customer. Setting the interval to zero turns sign reminders off.

  4. 04

Can we keep contracts signed on paper in the same place?

Yes. In Zircon CRM you mark the contract as signed, the system locks its content, and the expiry reminder works as usual. You can attach the scanned copy as a file.

  5. 05

Is the online signature a qualified electronic signature?

No. The Zircon CRM signature records who signed, when, with which e-mail address and from which IP address, and the drawn signature appears on the PDF. It is not a qualified electronic signature, so use another solution where one is required.

A human replies — not a bot

Bring the text of a contract you use often, such as your maintenance agreement. In the demo we turn it into a template in Zircon CRM and show you how the customer signs it and when the first reminder goes out.
