In short
What does the Zircon CRM shared calendar show?
A shared calendar shows the team's events and the company's deadlines in one place. In Zircon CRM, events sit next to task and project deadlines, open invoices by due date, estimates and proposals by expiry, contract end dates and reminders, each person seeing what their permissions allow. It is built for teams in service businesses.
Sound familiar?
The meeting is in one calendar, the deadline in another.
If any of these sound familiar, your calendar only shows meetings.
- 01
The expired estimate shows up too late
The estimate's validity ran out on Friday, but the calendar only held meetings. On Monday it turns out it has to be sent again.
- 02
The contract end comes as a surprise
The maintenance contract runs out, and the client asks about it before anyone on your side notices.
- 03
The company event does not reach everyone
The e-mail about moving day for the office gets lost in the inbox, and half the team sets off for the old address.
What it does
What the Zircon CRM calendar does.
One calendar, many sources: each kind of entry has its own colour and can be switched on or off with a filter.
Business deadlines in one view
Tasks and projects appear on their deadlines, invoices on their due dates, estimates and proposals on their expiry dates, and contracts on their end dates. A paid invoice, an accepted estimate or a completed task drops off.
Private and public events
Click any day to create an event with a title, description, time and colour. A private event is visible only to you; a public one goes to the whole team, and everyone is notified before it starts.
Notification before the event
You set how long before the start the notification arrives, in minutes, hours, days or weeks; 30 minutes by default. It arrives in the app and by e-mail.
Reminders on records
You put a reminder on a customer, lead, estimate, invoice, proposal, expense, credit note, ticket or task, for yourself or a colleague. The reminder also appears on the calendar and can send an e-mail or a text message.
Views, filters, dashboard
You switch between month, week and day views, and the filter lets you look at, say, only invoices and estimates. The calendar can sit on the dashboard, with this week's events in a box of their own.
Google Calendar next to the team's dates
The company Google Calendar shows for every staff member, and department Google calendars for the members of that department, as a read-only layer.
How it works
How every date ends up in the same calendar.
- 01
Set-up
An administrator chooses which business data appears, in which colour, the default view and the first day of the week.
- 02
Event and reminder
A staff member adds an event on the calendar, or puts a reminder on a customer, invoice or ticket, for themselves or a colleague.
- 03
Notification
Before the start, the scheduled job (cron) on the server sends the notification, to the whole team for a public event.
- 04
Daily planning
The team narrows the view with filters and clicks an entry to go straight to the invoice, the task or the contract.

Honestly
Good to know before you start.
Google Calendar is a read-only layer: events created in Zircon CRM are not written to Google. It needs a Google API key and calendars that key can read, which in practice means publicly shared ones.
Event notifications and reminders are sent by the scheduled job (cron) on the server. Text messages need a Twilio or Clickatell account.
Invoices, estimates, proposals, contracts, projects and tasks appear on the shared calendar only for people who may already view that record.
In the customer portal, the customer sees their own read-only calendar with their invoices, estimates, proposals, contracts and projects. Internal events, reminders and Google calendars are never shown to them.
Before you write
Fair questions. Straight answers.
- 01
Can the team see my private events in the Zircon CRM calendar?
No. In Zircon CRM a private event is visible only to the person who created it, administrators included. If it is meant for everyone, you add it as a public event, and every team member is notified before it starts.
- 02
Can I use Google Calendar together with Zircon CRM?
Yes, for reading. The company Google Calendar shows for every staff member and department calendars for department members in the Zircon CRM calendar. There is no sync back: events created in Zircon CRM do not go to Google.
- 03
Which deadlines appear automatically in the Zircon CRM calendar?
Open tasks, running projects, unpaid invoices, estimate and proposal expiries, contract end dates and reminders set on records. An administrator switches each source on or off and gives each one a colour.
- 04
Can I get a text message for a calendar reminder?
Yes, if an SMS provider (Twilio or Clickatell) is set up in Zircon CRM and the reminder text message is switched on. The reminder also arrives in the app and, if you ask for it, by e-mail.
