Zircon CRM / Sales & CRM
Runs in the browser · HU / EN / DELead management that shows what your pipeline is worth
Zircon CRM collects the leads (prospective customers) that reach you through your website, your sales inbox and your spreadsheets in one place. You move them from stage to stage on a Kanban board, and every column header shows how many leads it holds and what they are worth together. When the deal is won, the lead's details go onto the customer record without retyping.

In short
What is lead management in Zircon CRM?
Lead management means keeping track of prospective customers from the first enquiry to the deal you win or let go. In Zircon CRM every lead gets its own record with a status, source, owner and value. You follow leads on a Kanban board or in a list and convert them into a customer in one step, notes included. It is made for sales staff and managers at service businesses.
Sound familiar?
Your prospects live in three places and your pipeline in none.
If two of these sound familiar, lead management is still manual work in your team.
- 01
The enquiry gets stuck in the inbox
Someone read the message that came in to info@, but nobody picked it up. Two weeks later you find out the prospect has ordered elsewhere.
- 02
The same company appears twice
Once from the trade fair spreadsheet, once from the website. Two colleagues get in touch with it, neither knowing about the other.
- 03
Nobody knows how much money is in the pipeline
At the monthly sales meeting everyone reads their figures from their own notes. The total comes from a different spreadsheet every month.
- 04
Deal won, details retyped
You fill in the customer record from scratch, although the address, the phone number and the history were already there somewhere.
What it does
What lead management in Zircon CRM does.
The list and the board show the same leads, to each person according to their own permissions.
Kanban board with stage values
Each column is a sales stage, with the number of leads and their total value in the header. You drag a card to move it on, and the status change is written to the lead's activity log.
Leads from your inbox
Zircon CRM checks a mailbox reachable over IMAP (sales@, for example) as often as every ten minutes. A new sender becomes a lead together with the message and its attachments, and further e-mails go to the existing lead. You can filter spam by sender, subject and phrase.
Duplicate checks
You choose whether the system warns you when a lead with the same e-mail address, phone number, website or company name already exists. The same rule applies to CSV imports: matching rows are skipped.
Import with a dry run
You load leads in bulk from a spreadsheet. The simulated import shows up to 100 rows without saving anything, so you see in advance what goes in and what stays out.
Lost and junk leads
A lead that went cold is marked as lost, spam as junk. Both leave the board but stay searchable, and when you restore one it returns to exactly the stage it was in before.
Proposals for leads
You send a proposal straight to the lead, without creating a customer first. If the lead's e-mail address changes, the system offers to update it on the linked proposals as well.
Conversion without retyping
Converting fills in the customer form with the lead's details. You decide whether notes, GDPR consents and custom fields come along. The customer record keeps a link to the original lead.
How it works
From first enquiry to new customer.
- 01
The lead arrives
From a website form, the monitored mailbox, an import or by hand. Status, source and owner are filled in from your defaults.
- 02
The owner is notified
Whoever the lead is assigned to gets an in-app notification and an e-mail. The colleagues you choose also hear about leads from forms and the mailbox.
- 03
Qualify and follow up
You add notes, record that you got in touch, and set reminders and tasks. Every step goes into the activity log.
- 04
Proposal, then decision
You send the proposal from the lead's record. If you win the deal, you convert the lead into a customer; if not, you mark it as lost, and the pipeline does not flatter the numbers.
Control
Everyone sees their own pipeline.
Own leads and all leads
Without the global view permission, a staff member sees only the leads assigned to them, the ones they created and the ones marked public. The same rule applies in the list, on the board, in search and when a lead is opened by direct link.
Locked after conversion
You can make converted leads read-only. That way nobody rewrites the history afterwards, except administrators.
Who sets what up
Statuses, sources, the mailbox integration and the forms are managed by administrators. If you allow it, staff can also add new statuses and sources and import leads.
Works with
Where a lead goes from here.
- Web-to-lead formsa form filled in on your website becomes a lead with a preset status, source and owner.
- Quote requestsa quote request that arrives with files can become a proposal for an existing lead.
- Proposalsthe proposal goes to the lead already, with online acceptance.
- Customer managementconversion creates the customer and the primary contact, linked back to the lead.
- MCP server for AI assistantsClaude or Cursor lists, creates and moves leads with the staff member's permissions.
Honestly
Good to know before you start.
Leads from the mailbox need a mailbox reachable over IMAP and the scheduled job (cron) running on the server. Keep one mailbox for one purpose: if your helpdesk uses it too, the system warns you.
The thank-you e-mail to the person who filled in the form is off by default. Switch the template on if you want them to get one.
Lead value is counted in your base currency, and the stage totals are shown in it too.
The GDPR features (consent purposes, the lead's own data page, removal requests) are switched on separately.
Before you write
Fair questions. Straight answers.
- 01
How do leads get into Zircon CRM automatically?
Through the lead form embedded on your website, a monitored sales mailbox, and the REST API and MCP server. For forms and the mailbox you preset the status, the source and the owner, who is notified about each new lead.
- 02
Can I import my existing leads from an Excel sheet?
Yes, once you save it as CSV. Zircon CRM gives you a sample file, recognises status and source by name, and the simulated import shows the first 100 rows without saving. Duplicate rules apply to imports too.
- 03
What is the difference between a lead and a customer in Zircon CRM?
A lead is still a prospect: it has a record, a status and a value, and it can receive a proposal. It becomes a customer when you convert it. From then on it can also receive estimates, contracts, invoices and projects.
- 04
Can sales staff see each other's leads?
Only if you allow it. In Zircon CRM, without the global view permission everyone sees their own leads, the ones assigned to them and the ones marked public, on the board, in the list and in search alike.
- 05
Can an AI assistant manage leads in Zircon CRM?
Yes, through the built-in MCP server. Claude, Cursor or another supported client can list, create, update and convert leads, always with the signed-in staff member's permissions, and every call is logged. Your system needs to be reachable over HTTPS.
