Zircon CRM / Finance & invoicing
Runs in the browser · HU / EN / DEIssue a credit note without rewriting the invoice
In Zircon CRM, a credit note gets its own number, lines and PDF, and you create it from the invoice in one step. Apply its balance to one or more open invoices, refund it, or keep it for later. When nothing is left, the credit note closes itself.

In short
What are credit notes in Zircon CRM?
A credit note records that a business owes its customer money: because of overcharging, returned goods or a discount agreed afterwards. In Zircon CRM, you issue a credit note with its own number, lines, taxes and PDF. You apply its balance to open invoices, refund it or keep it for later, and its status keeps up. Built for finance teams.
Sound familiar?
One complaint, and nobody knows what is still owed.
If one of these sounds familiar, your credit notes are still tracked by hand.
- 01
You would just edit the invoice
The customer disputes two lines on an invoice you already sent. Editing the invoice seems easiest, but then nobody can see what went out originally.
- 02
Paid twice, no trace
The customer paid the same invoice twice. The money goes back, but there is no record of it in your system, and it comes up again at the next reconciliation.
- 03
Promised credit that never gets used
You promised a credit after a project slipped. At the next invoice, nobody remembers how much of it is left.
What it does
The credit balance is always up to date.
A credit note is made like an invoice, with its own number, lines, taxes and PDF.
Issue a credit note from the invoice
Start it from the invoice's menu: the credit note takes over the customer, currency, lines, taxes and addresses, and puts the invoice number in the reference. On an unpaid invoice the open balance is credited straight away; on a paid invoice the credit note stays open.
Credit across several invoices
Apply an open credit note to any of the customer's open invoices, in part or in full. One credit note can settle several invoices, and one invoice can be settled by several credit notes; the invoice status follows.
Refunds
Record the money you paid back with a date, payment mode and note, up to the credit that remains.
Open, closed, void
When applied credits and refunds add up to the full amount, the credit note closes. A credit note issued by mistake can be voided, as long as nothing has been applied or refunded.
Sending and account statement
You e-mail the credit note to the customer's contacts with the PDF. The account statement in the customer portal lists every credit note, applied credit and refund.
How it works
How a disputed invoice gets settled.
- 01
A credit note for the disputed lines
You open a new credit note for the customer, add the two disputed lines and enter the invoice number as the reference.
- 02
Sent to the customer
You save and send it, and the customer receives the PDF.
- 03
Applied to the invoice
You apply the credit note to the disputed invoice: the invoice becomes Partially Paid, its amount due drops, and the credit note closes.
Works with
Credit notes leave a trace on invoices and payments.
- Invoicingcredit notes start from an invoice, and every applied credit shows on its own tab on the invoice.
- Számlázz.hu integrationthe reversal of an official invoice is made in Számlázz.hu, and the sync marks the Zircon CRM invoice as cancelled.
- Online paymentsrefunds use the same payment modes as incoming payments.
- Customer managementthe customer profile lists the customer's credit notes, and contacts decide for themselves whether they want credit note e-mails.
- Items, taxes and currenciescredit note lines use the same catalogue, taxes and currencies.
Honestly
Good to know before you start.
A Zircon CRM credit note is not reported to the Hungarian tax authority (NAV), and it is not sent to Számlázz.hu. If the official invoice was issued in Számlázz.hu, you make the reversal or the correction there too.
When an invoice is reversed in Számlázz.hu, the sync marks the Zircon CRM invoice as cancelled. Reversal and correction documents themselves are not imported as separate invoices.
There are no automatic credit note reminders to customers. To follow up a refund, set yourself a reminder on the credit note.
A credit note can only be deleted when it has no applied credits, no refunds and is not closed.
Before you write
Fair questions. Straight answers.
- 01
How do I issue a credit note from an invoice in Zircon CRM?
Start the credit note from the invoice's menu. It takes over the invoice's customer, lines, taxes and addresses, with the invoice number as the reference, and you keep only the lines you want to credit. On an unpaid invoice, Zircon CRM settles the open balance with it straight away.
- 02
Can one credit note be used on several invoices?
Yes. In Zircon CRM you can split one credit note across several open invoices, and one invoice can be settled by several credit notes. Each application shows on both the invoice and the credit note, and staff with delete permission can remove it.
- 03
How do I record refunding an overpayment?
Issue a credit note for the overpaid amount, then record the bank transfer in Zircon CRM as a refund with the date and payment mode. Once nothing is left, the credit note closes.
- 04
Does Zircon CRM report credit notes to NAV?
No. A Zircon CRM credit note is not reported to NAV and is not sent to Számlázz.hu. If the official invoice was issued in Számlázz.hu, you make the reversal or correction there, and the sync brings the reversal back into Zircon CRM.
