Online payments from the invoice link, no login needed

In Zircon CRM the invoice link doubles as a payment page. Your client picks a gateway, pays on the gateway's secure page, and the payment lands on the invoice together with its transaction ID. Bank transfers and cash are recorded by your finance team, a whole bank statement at a time if needed.

In short

How do online payments work in Zircon CRM?

Online payments let a client settle an invoice by card or another electronic method on the invoice page instead of by bank transfer. Zircon CRM connects to ten payment gateways, including Stripe, PayPal, Braintree, Mollie and Authorize.net. The payment is booked against the invoice, the status updates and the client receives a payment receipt. It is built for finance teams at service businesses.

Sound familiar?

The invoice went out. Where the money is, nobody knows.

If one of these sounds familiar, payments are still manual work for your team.

  1. 01

    "Has my transfer arrived?"

A client writes for the third time on a Friday afternoon, asking whether their money came in. Nobody has downloaded the bank statement yet, so nobody can say for sure.

  2. 02

The client in Rotterdam wants to pay with iDEAL

Your invoice only shows a Hungarian bank account. The client would have to start an international transfer, does not feel like it, and the payment slips by weeks.

  3. 03

Ticking off the statement line by line

At month end you look up every incoming amount among the invoices by hand and mark each one as paid. Meanwhile, clients get no confirmation at all.

  4. 04

Paying in two halves, tracked nowhere

The client pays half now and half next month. Nobody can tell from the spreadsheet what is still outstanding.

What it does

What Zircon CRM does with payments.

Online and offline payments end up in the same place: a payment record linked to the invoice, with date, amount, payment mode and transaction ID.

Ten payment gateways

Built in: Stripe, PayPal in two versions, Braintree, Authorize.net, Mollie, 2Checkout, Instamojo and PayU Money. Dutch iDEAL through Stripe comes as a separate module. For each gateway you set the label your client sees and the currencies it accepts.

Allowed payment modes per invoice

Each invoice carries its own list of allowed payment modes, offline and online. A gateway only appears if the invoice currency is on that gateway's list.

Payments booked with the transaction ID

A successful payment is recorded on the right invoice with the gateway's transaction ID, and the invoice becomes partially paid or paid. If the invoice was still a draft, it receives its final number at that moment.

Partial payments if you allow them

With one setting, the client enters how much to pay now, up to the amount due. Switch it off and the full balance is always charged.

Processing fees for business clients

On seven gateways you can add a fixed and a percentage fee on top of the amount paid. Only the invoice portion is booked against the invoice, so balances and reports stay correct.

Batch payment entry

On the batch payments screen you record a full bank statement in one go, with date, payment mode and amount per invoice. If a client paid several invoices, they get one combined e-mail.

PDF payment receipts

Every payment produces a branded PDF payment receipt in the client's language, e-mailed to the contacts who receive invoices. If you want, the invoice PDF travels with it.

Bank details where clients look

You write the account number, IBAN and SWIFT into the description of each offline payment mode (bank transfer, cash, card terminal). The description shows on the online invoice and, if you switch it on, on the invoice PDF.

How it works

From the invoice link to the payment receipt.

  1. 01

    Set up the gateways

An administrator switches on the gateways you need and enters keys, currencies and fees. The Stripe webhook is created in one click on the settings tab.

  2. 02

    Send the invoice

The invoice has its allowed payment modes ticked. Your client opens the link without logging in, unless you require a login to view invoices.

  3. 03

    The client pays

They choose a gateway, adjust the amount if you allow it, and enter card details on the gateway's own page or form. Card details are never typed into Zircon CRM.

  4. 04

    Booking and notification

Once confirmed, the payment lands on the invoice, the client receives the payment receipt, and the invoice creator and the assigned sales agent are notified. Back on the invoice, the client sees the payment in the transactions list.

Control

Payments have their own permissions.

Four separate rights

Payments carry their own permissions in roles: view (global), create, edit and delete. Staff who only see their own invoices see the payments on those invoices and nothing else.

Encrypted keys

Gateway API secrets are stored encrypted. Payment modes and gateway settings are managed by administrators.

Notifications when you want them

When recording a payment, you can skip the e-mail and SMS to the client. Staff notifications can be switched off too, and whoever records a payment is not notified about their own entry.

Honestly

Good to know before you start.

  • You need your own account with every payment provider. Automatic confirmation needs the webhook or notification address set up at the provider.

  • Payments recorded in Zircon CRM, online payments included, are not sent to Számlázz.hu. If you issue the official invoice reported to the Hungarian tax authority there, mark the payment in Számlázz.hu as well, and the sync brings it back.

  • Processing fees are meant for invoices to businesses or to clients outside the EU: EU rules generally do not allow surcharges on consumer card payments.

  • Authorize.net handles one currency per account and requires SSL. Instamojo and PayU Money are built for payments in India.

Before you write

Fair questions. Straight answers.

  1. 01

Does a client need to log in to pay a Zircon CRM invoice?

No. The invoice link opens without a login, and the pay button sits at the top of the page. If you prefer, you can require a login to view invoices in the Zircon CRM settings.

  2. 02

Can I pass card fees on to the client in Zircon CRM?

On seven gateways, yes: you set a fixed and a percentage fee that is added to the amount paid but never inflates the invoice balance. We recommend it for business clients and clients outside the EU, as EU rules generally forbid surcharges on consumer card payments.

  3. 03

How do I record a whole bank statement at once?

With the batch payments button on the Zircon CRM invoice list. One screen shows every open invoice, you can filter by client, and a payment is only recorded where you enter an amount. A client who paid several invoices gets one combined e-mail.

  4. 04

What happens if the client closes the browser halfway through paying?

Stripe, Stripe iDEAL, Mollie and 2Checkout also confirm in the background, so Zircon CRM still records the payment, and the same transaction is never booked twice. The other gateways confirm when the client returns to the invoice.

  5. 05

Are online payments taken in Zircon CRM sent to Számlázz.hu?

No. Payments recorded in Zircon CRM stay in Zircon CRM. It works the other way round: payments registered in Számlázz.hu appear on the Zircon CRM invoice at the next sync, capped at the amount still open.
