Hosting and domain renewals in one list, invoiced on time

In Zircon CRM, every hosting plan, domain, SSL certificate, mailbox and server you manage for clients gets its own record with a renewal date, price and provider cost. The system flags each domain renewal in advance, prepares the renewal invoice and, once the client pays, moves its own record into the next period.

In short

What does domain renewal tracking in Zircon CRM cover?

The hosting and domain module in Zircon CRM tracks renewals of services you resell: expiry dates, renewal invoices, payments, provider costs and margins. It reminds your team, and your clients if you want, ahead of time, and moves the record into the next period once the invoice is paid. It does not renew anything at the provider. Built for web studios, IT service providers and hosting resellers.

Sound familiar?

The expiry date lives in a calendar entry.

If one of these sounds familiar, renewals still live in a spreadsheet at your company.

  1. 01

Monday morning, the website is down

A client's domain expired because the reminder was a calendar entry nobody opened. The website and company e-mail went down together.

  2. 02

You paid the provider, but never invoiced the client

The hosting company took the annual fee, yet the renewal invoice never went out. The difference came out of your own pocket.

  3. 03

    The margin quietly disappeared

The client's price has not changed in years, while the provider raised theirs twice. Nobody can say off-hand whether the plan still makes money.

  4. 04

Which client runs on which server?

When a server goes down, it takes minutes to work out whose websites run on it and who needs to be told.

What it does

What Zircon CRM does with renewals.

Every service has one record: client, type, domain, provider, server, price, billing period and dates.

A record for every service

Choose from eleven default types (hosting, domain, SSL certificate, e-mail, backup, monitoring, VPS, dedicated server, cloud, CDN, other) and add your own. Billing periods run monthly, quarterly, every six months, yearly, every two or every three years, and dates always move by whole periods, month ends included.

Renewal invoice in one click

One button on the record creates the invoice for the next period with line item, period, taxes and due date, as a draft by default. If an open invoice already covers that period, you get a warning so you do not bill twice.

Margin and monthly recurring revenue

You enter the provider cost next to the price, and the record shows the margin in money and percent, in red for a loss. The overview calculates monthly recurring revenue (MRR), its yearly equivalent and the monthly margin, per currency.

A 12-month forecast

A column chart shows the renewal income expected in each of the next 12 months, plus the renewals already overdue and unpaid.

Reminders for your team and your clients

The responsible staff member gets a task or notification before the renewal, 30 days ahead by default. If you switch it on, client contacts also receive reminder e-mails on the days you set.

Server inventory

Record servers and hosting accounts, including shared servers that host several clients. For each server you see the services on it, how many clients they belong to and the monthly revenue it brings in.

A services page in the client portal

Clients see their services, renewal dates, what each plan includes and the related invoices in one place. Internal notes, provider costs, margins and login details never reach them.

How it works

From a new record to a paid renewal.

  1. 01

    Add servers and services

On the client's profile tab you add a new service: type, domain, provider, price, provider cost, period. What the plan includes comes from a quick-add list per type.

  2. 02

    Get flagged in time

The set number of days before the renewal, the responsible staff member gets a task due on the renewal date, with a link to the service. With tasks turned off, they get a notification instead.

  3. 03

    Issue the renewal invoice

On the record you create the invoice, check period and amount, and send it to the client.

  4. 04

    Payment moves the record on

When the invoice is paid in full, online or recorded by your team, the record is marked paid and its renewal date moves to the next period.

  5. 05

Your team renews at the provider

Your team renews the service at the provider using the login address on the record and the client's credentials vault. You can note it in the activity log.

Control

Internal stays internal.

Costs and logins for the team only

Provider cost, margin, internal notes, login address and user name never reach the client. Passwords are deliberately not stored here: that is what the vault on the client profile is for.

Four permissions

View, create, edit and delete can be granted separately. Only staff who may also create invoices can create a renewal invoice, and settings are managed by administrators.

Automation that does not decide for you

Overdue marking, expiry and automatic roll-over are switched on rule by rule, and every change is written to the record's activity log. An unpaid renewal never rolls over by itself, and a paid record is not switched to overdue just because its date has passed.

Honestly

Good to know before you start.

  • Zircon CRM does not renew anything at the provider. It tracks, reminds and invoices, and after the renewal invoice is paid it moves its own record into the next period.

  • Reminders, overdue and expiry marking and automatic roll-over need the scheduled job (cron) on your server, which runs this at most once an hour.

  • The renewal invoice is a draft by default and is not issued in Számlázz.hu by itself. For an official invoice reported to the Hungarian tax authority, upload it.

  • Reminder e-mails to clients are off by default. The ready-made template comes with English and Hungarian wording and can be edited.

Before you write

Fair questions. Straight answers.

  1. 01

Does Zircon CRM renew the domain at the registrar?

No. Zircon CRM tracks the expiry, sends reminders, prepares the renewal invoice and moves its own record on after payment. Your team renews at the registrar or hosting company, with the login address right on the record.

  2. 02

How does Zircon CRM calculate monthly recurring revenue?

It converts the price of every active service billed to a client into a monthly amount: an annual fee counts at one twelfth. Amounts in other currencies are shown separately. For the monthly margin, provider costs need to be recorded too.

  3. 03

Can clients get a reminder before expiry?

Yes, if you switch it on. Zircon CRM e-mails the primary contact and the contacts with permission on the days you set, 30 and 7 days before by default. Only active services that are billed to the client and shown in the portal trigger an e-mail.

  4. 04

What happens if the renewal invoice is only partly paid?

Zircon CRM only moves the record on after full payment. Until then the payment is pending, and after the due date it becomes overdue. If a payment is deleted later, the payment status reverts and the log shows it.

  5. 05

Can clients see our provider cost or margin?

No. Zircon CRM treats provider costs and margins as internal data. The portal's services page only shows the price billed to the client, and showing prices can be switched off.
