Recurring tasks you switch off in one place

In Zircon CRM, any task can become regular work: a fresh copy arrives weekly, monthly, yearly or at a custom interval, with the same assignee and checklist. All recurring tasks sit on one page, in one list, where you can pause, resume or stop them.

In short

What is a recurring task in Zircon CRM for?

A recurring task is work that comes back on a schedule, such as the monthly SEO report or the weekly server check. Zircon CRM creates a new copy at the interval you set, with assignees, followers and checklist, and shows every one of them in a single list where you can pause or stop them. It is built for teams that own routine work and for their leads.

Sound familiar?

The task turns up every month, and nobody knows how to switch it off.

If any of these sound familiar, routine work in your business still depends on memory.

  1. 01

The client pauses, the task does not

A client puts their monthly maintenance on hold for the summer, but the task keeps landing in a colleague's list. Nobody knows where to switch it off.

  2. 02

A pile of tasks waits after the break

After a pause, a separate catch-up task appears for every missed week, and the team starts Monday by deleting stale work.

  3. 03

The quarterly report depends on memory

The report gets done if someone remembers. If not, the client asks for it.

What it does

What Zircon CRM does with regular work.

The schedule lives on the original task; the copies are ordinary tasks the team works on.

The schedule on the task form

You pick an interval: one or two weeks, one, two, three or six months, a year, or a custom number of days, weeks, months or years. You set how many copies to create in total, or leave it without a limit.

What each copy carries

A new copy starts on its scheduled date, and its due date keeps the same distance from the start as the original. Assignees, followers, an unticked checklist, tags, custom fields and the linked record come along; attachments, comments and logged time do not.

One list for every recurrence

The management page shows every repeating task with its interval, the number of copies created, and the dates of the last and next copy. Quick tabs filter by active, paused and finished.

Pause without a backlog

One switch pauses a task, and its schedule and history are kept. On resume, copies that fell due during the pause are skipped, while one that falls due today is still created.

Stop for good

Stopping the recurrence removes the schedule, and copies already created stay. Pause, resume and stop also work on many tasks at once.

Copies you can trace

Every copy's window links to the original task and shows its state. Pausing, resuming and stopping are written to the activity log.

How it works

A monthly report, set up for a year.

  1. 01

    Create

You create the monthly report task in the client's project, with an assignee and a checklist, and set it to repeat monthly.

  2. 02

    On schedule

Every month, on the set day, a new copy appears in the assignee's list, and they get a notification and an e-mail.

  3. 03

    Pause and resume

When the client pauses the work for the summer, you switch the task off in the list. In autumn you switch it back on, and the next copy lands on the next regular date.

  4. 04

    Close

When the contract ends, you stop the recurrence. The reports already created stay in the project.

Honestly

Good to know before you start.

  • New copies are created once a day by the scheduled job (cron) on the server, at the set hour, 9:00 by default. If the scheduled job is not running, no copies are made.

  • Pausing, resuming and stopping need the task edit permission, and deleting needs the task delete permission. There is no separate permission.

  • When you set a project to finished, on hold or cancelled, the system warns you that the project's recurrences will be cancelled.

  • After the first copy, the original task's start date is locked so the schedule does not drift.

Before you write

Fair questions. Straight answers.

  1. 01

How do I switch off a recurring task in Zircon CRM?

On the Zircon CRM page that manages recurring tasks. If you only need a break, the switch in the row pauses it and keeps the schedule; for good, you choose to stop the recurrence. The task window also links to that page.

  2. 02

What happens to copies missed during a pause?

Zircon CRM skips them. On resume, no catch-up copy is made for each missed week, only for one due today, and the date of the next copy shows straight away.

  3. 03

Do the checklist and the assignee carry over to each new copy?

Yes. Zircon CRM carries over assignees, followers, the checklist with every item unticked, tags, custom fields, priority and the linked record. Attachments, comments and logged time stay on the original task.

  4. 04

What is the difference between pausing and stopping a recurrence?

When you pause, Zircon CRM keeps the schedule and the counters, and you can resume at any time. Stopping removes the schedule and resets the counters. Tasks already created are kept either way.
