One product catalogue behind every quote and invoice

In Zircon CRM, your products and services live in one shared catalogue, with descriptions, units, taxes and a price per currency. The lines of estimates, proposals, invoices and credit notes fill in from it. Tax rates and currencies are set up here too, once.

In short

What is the product catalogue in Zircon CRM for?

A product catalogue is the shared list of a company's products and services, with descriptions, units, prices and taxes. In Zircon CRM, the catalogue fills in the lines of estimates, proposals, invoices and credit notes, using the price stored for the document's currency. Tax rates and currencies are managed alongside it. Built for sales and finance.

Sound familiar?

The same service, described differently in every quote.

If one of these sounds familiar, you don't have a shared price list yet.

  1. 01

Everyone works from their own price list

One sales person copies the rate from last year's PDF, another types it from memory. The customer gets two quotes for the same thing, with different totals.

  2. 02

The euro price is worked out by hand every time

A customer abroad needs a quote in euros, so someone converts and rounds the forint rate each time. Sometimes one way, sometimes another.

  3. 03

A tax change that would touch old invoices

A tax rate changes, and nobody is quite sure whether the system will also rewrite invoices that already went out.

What it does

One catalogue, correct taxes, familiar number formats.

Finance builds the catalogue; sales people pick from it inside each document.

Items in groups

Every item has a name, a long description, a base rate, a unit, a group and up to two default taxes. In a document you pick items by group, with search as you type once the catalogue passes 200 items; you can add a new item from the document too.

A price per currency

Every currency that is the default currency of at least one customer can have its own price on an item. The document uses the price stored for its own currency.

Taxes per line

A line can carry several taxes, summarised tax by tax at the bottom of the document. Discounts apply before or after tax, as a percentage or a fixed amount, with an adjustment for rounding.

Documents already sent stay as they are

Every document keeps its own copy of the description, price and tax rate. If you later change the catalogue or a tax rate, invoices already sent stay unchanged.

Currencies with their own format

For each currency you set the symbol, its position, and the decimal and thousands separators, so every customer sees amounts in the format they expect. Switched on, the total also appears in words in the customer's language, including English, German and Hungarian.

CSV import with a dry run

Load your whole price list from CSV, with prices per currency, taxes and groups. The simulation shows up to 100 rows without saving anything, with tax and group names resolved.

How it works

From an empty catalogue to the first invoice.

  1. 01

    Currencies and tax rates

An administrator adds the currencies, sets the base currency, adds the tax rates and chooses the default tax.

  2. 02

    The catalogue

You create the groups, then add or import the items with their prices per currency.

  3. 03

    The customer's currency

You set each customer's currency on their profile. On estimates, invoices and credit notes the document currency follows it, and items bring the matching price.

Honestly

Good to know before you start.

  • If you leave the price for a currency empty, the line gets the base rate. Fill in your foreign currency prices for that reason.

  • The base currency can only be switched while it has no transactions. A currency used on a transaction cannot be deleted, and neither can a tax rate used by items, expenses or subscriptions.

  • Only administrators manage tax rates and currencies. The catalogue has its own permission without an "own" level, because it is shared.

  • The Számlázz.hu integration accepts one tax per line and no discounts or adjustments. For the official Hungarian invoice, add the discount as a separate line, and set a VAT code for lines without tax.

Before you write

Fair questions. Straight answers.

  1. 01

Can one service have both a forint and a euro price in Zircon CRM?

Yes. Every currency that is the default currency of at least one of your customers can have its own price on the item. Zircon CRM picks the price by the document's currency; if there is none, it puts the base rate on the line.

  2. 02

What happens to invoices already sent when a tax rate changes?

Nothing. Zircon CRM keeps the tax name and rate each invoice, estimate and credit note was issued with. The changed rate only applies to new documents.

  3. 03

How do I load an existing price list into the Zircon CRM product catalogue?

From a CSV file: the sample file contains every importable column, with a separate price column per currency. The simulation shows up to 100 rows without saving, then you run the import. Save the file as UTF-8.

  4. 04

Can I put two taxes on one invoice line?

Yes, Zircon CRM allows several taxes on a line, and up to two default taxes on a catalogue item. The Számlázz.hu integration accepts one VAT rate per line, though, so an official Hungarian invoice can only carry one tax per line.
