Zircon CRM / Administration
Runs in the browser · HU / EN / DECustom fields for the data your business actually tracks
With custom fields in Zircon CRM you record what your company needs: a client's industry code, a project's cost centre or the serial number of a device on a ticket. You define the field once, and it appears on the form, in the list and in the filters, and on the PDF and in e-mails if you want.

In short
How do you extend Zircon CRM records with custom fields?
A custom field is a data field you add alongside the system's own fields. In Zircon CRM you can add one to 15 record types, such as clients, leads, invoices, projects and tickets, choosing from 10 field types. The field shows up on forms, lists and filters, and optionally on PDFs, in e-mails and on lead forms. It is built for administrators.
Sound familiar?
The data exists, there's just nowhere to put it.
If two of these ring true, your extra data still lives in the notes box.
- 01
The notes box has become a catch-all
The name of whoever handles renewals, the hosting plan and the contract number all go into the same free-text box. You can't filter by any of them.
- 02
Everyone writes the same thing differently
One colleague enters "retail" as the industry, another "shops". The report ends up with three rows for the same thing.
- 03
You chase the client for details in a second e-mail
The client describes the fault in the ticket, but the device's serial number has to be requested afterwards in another message.
What it does
What your own fields in Zircon CRM can do.
One definition that stays the same from the form to the PDF.
15 record types
Your own company details, leads, clients, contacts, staff, contracts, tasks, expenses, invoices, line items, credit notes, estimates, proposals, projects and tickets. The same mechanism serves internal records and information meant for clients.
10 field types
Single-line text, number, multi-line text, select, multi-select, checkbox, date, date and time, colour picker and hyperlink. For list types you enter the options separated by commas.
Default value and layout
The default value is checked as you type. Dates accept relative expressions such as "+7 days", and the screen shows the resulting date. You set the field's order and width, so several short fields fit in one row.
Required, hidden, read-only
A field can be required, hidden from everyone except administrators, or visible to clients without letting them change it. A disabled field disappears, but its values are kept.
In lists, filters and PDFs
A field can appear as a list column, and text, number, list, checkbox and date fields are added to the advanced filters automatically. Invoice, estimate and credit note fields can be printed on the PDF.
In e-mails, forms and imports
Every active field that is not admin-only can be inserted into the matching e-mail templates. Lead fields become building blocks in the lead form builder, and client, lead, item and expense imports treat them as columns.
Carried over on conversion
When a lead becomes a client, you decide where each lead field goes, and missing fields are created with the same name. When a proposal or estimate becomes an invoice, values are copied between fields with the same type and options and a very similar name.
How it works
A new field's path from definition to invoice.
- 01
New field
An administrator opens a new field and chooses what it belongs to, for example clients.
- 02
Type and options
They enter the name, the type and, for lists, the options.
- 03
Rules
They set the default value, order and width, and tick whether it is required and whether it shows in the list, on the PDF or in the portal.
- 04
Save and place
After saving, the field appears on the client form, in the list, in the filters and in client e-mail templates. To print it in the client block on invoices, they add its placeholder to the client information format.
Works with
Where your own fields show up.
- Lead managementlead fields can be carried over to the client or the contact on conversion.
- Customer managementyour own fields sit on the client profile, in the list and in the filters.
- Web-to-lead formslead fields become form building blocks, and submitted values are stored on the lead.
- Invoicinginvoice and line item fields can appear on the PDF.
- E-mail templates and notificationsevery active field can be inserted into templates.
- Data import and exportCSV imports treat the fields as columns.
Honestly
Good to know before you start.
Only administrators can create, edit and delete fields.
Once a field holds values, its record type and field type can no longer be changed.
Deleting a field also deletes all its values. If you only want to hide it, disable it.
Line item fields are for information only and are not included in totals.
Before you write
Fair questions. Straight answers.
- 01
Can I add a drop-down list to the client profile in Zircon CRM?
Yes. You add a select or multi-select field to clients, with the options separated by commas. If you later remove an option that is still in use, Zircon CRM keeps it and warns you, so no data is lost.
- 02
Do clients see our own fields in the Zircon CRM portal?
Only if you switch it on. Per field you decide whether it appears in the customer portal and on the documents clients download, and whether they may change it. A field reserved for administrators stays hidden from clients too.
- 03
Can I filter a list by a custom field in Zircon CRM?
Yes. Text, number, select, multi-select, checkbox and date fields appear automatically in the advanced filters above the client, lead, invoice, project, task, ticket and other lists.
- 04
What happens to a lead's own fields when it becomes a client?
On conversion Zircon CRM asks, field by field, where each value should go: a client field, an existing client detail, a contact field, or nowhere. Missing fields are created with the same name.
- 05
Can one of our own fields be printed on the invoice PDF?
Yes. In Zircon CRM you tick the PDF option on invoice, estimate and credit note fields. Client and company fields are placed in the address block with a placeholder in the format fields of the settings.
