Staff management from onboarding to offboarding

In Zircon CRM every colleague has their own account: profile, departments, role, hourly rate and logged time in one place. You add a new colleague with one form, and when someone leaves, the system asks who should take over their invoices, leads, tasks and tickets.

In short

What does staff management in Zircon CRM cover?

Staff management in Zircon CRM covers the life of a team account: adding people with a role and permissions, grouping them into departments, an hourly rate and timesheet summary per person, and on exit deactivation or deletion with a hand-over of their records. It is built for owners, administrators and team leads who want one place to see who has access.

Sound familiar?

The colleague left. The account stayed.

If one of these rings true, keeping accounts in order is still manual work for your team.

  1. 01

A former colleague can still log in

Three months after they left, you find out their old password still opens the customer data.

  2. 02

    Orphaned estimates

You deleted the departing sales rep's account, and with it any record of who was responsible for the open estimates.

  3. 03

    The freelance designer sees everything

The freelancer brought in for one project gets the same kind of account as employees, so they can read the leads too.

  4. 04

The hours are there, their value is not

Someone works out the value of each person's time at their hourly rate in a spreadsheet at the end of the month.

What it does

Staff management starts from one list.

The staff list is open to administrators and to anyone with the Staff permission.

Staff list

Each row shows the name with photo, e-mail, role, last login and an active switch. Staff custom fields you mark for the list get their own column.

Onboarding with a role

When you create an account you pick a role, and the permission grid fills in from it. You can then fine-tune it for that person.

Hourly rate and timesheet summary

Every staff member has their own hourly rate in your base currency. Their staff record shows logged time for this and last week and month, and the timesheet tab totals the value of those hours at their rate.

Contractor accounts

Freelancers and partner agencies get an account marked as Not Staff Member. They cannot open leads, do not see internal announcements or the setup area, and reach support tickets only if you allow it.

Departments

Departments group your people. Each one can have its own support e-mail address, where incoming messages become tickets, and its own Google Calendar.

Own profile

Everyone manages their own photo, language, e-mail signature and password, and switches on two-factor login there. The login e-mail address can only be changed by someone with the Staff edit permission.

How it works

Join, work, leave.

  1. 01

    You add the new colleague

Enter their name, e-mail, hourly rate and departments, generate a password and choose the role.

  2. 02

    The new colleague logs in

On first login they change their password, set their language and signature, and can switch on two-factor login.

  3. 03

    On exit, you deactivate

One switch makes the account inactive. They can no longer log in, and an open session ends at their next click. Their records stay under their name.

  4. 04

If you delete, someone takes over

When you delete the account, you choose the colleague who receives their invoices, estimates, leads, projects, tasks, logged time and tickets. Tickets assigned to the leaver lose their assignee, so they surface for the team.

Honestly

Good to know before you start.

  • The welcome e-mail is ticked by default and contains the password in plain text. If you do not want that, switch the template off and hand the password over another way.

  • Deletion is final: personal to-dos, reminders and calendar events go with the account. If you only want to stop access, deactivate the account instead.

  • Only administrators can grant or remove administrator status and manage departments. Nobody can deactivate their own account.

  • Account changes are written to the activity log, including who received a leaver's records, but administrators can clear that log.

  • A department's Google Calendar needs a Google API key. Tickets from a department mailbox need an IMAP mailbox and the scheduled job (cron) running on the server.

Before you write

Fair questions. Straight answers.

  1. 01

How do I give a freelancer access to Zircon CRM without showing them everything?

Mark their account as Not Staff Member. Zircon CRM then hides leads, internal announcements and the setup area from them, and they reach support tickets only if you allow it. They work on the projects and tasks you give them like anyone else.

  2. 02

What happens to a departing employee's data in Zircon CRM?

If you deactivate the account, they cannot log in and all their records stay under their name. If you delete it, you choose the colleague who takes over their invoices, leads, projects, tasks and tickets, and their personal items are removed.

  3. 03

Can colleagues see each other's hourly rates in Zircon CRM?

The hourly rate lives on the staff record, which only people with the Staff view permission can open. On profile pages in Zircon CRM, colleagues see the photo, name, contact details and departments.

  4. 04

Can one staff member belong to several departments in Zircon CRM?

Yes, you can tick several departments on their staff record. If you limit tickets by department, they see the tickets of all their departments. They can view their department membership on their own profile but not change it.
